The following terms outline how we work together to ensure your experience is everything you’ve dreamed of. We’ve written them to be as clear and straightforward as possible, because a great trip starts long before you arrive. If you ever have questions, our team is always just a call or email away.
By booking with us or browsing www.karabivillas.com, you’re agreeing to these terms. We may update them from time to time, and continued use of our services means you’re on board with any changes.
1. Making Your Reservation
How Bookings Work
When you submit a reservation request on our website, our team personally reviews it and reaches out to confirm availability. Your booking isn’t officially confirmed until you receive a written confirmation email from us and your deposit has been received. Think of it as us officially rolling out the welcome mat.
Once confirmed, please review your booking details carefully. If anything looks off, just reach out within 24 hours and we’ll sort it out right away at info@karabivillas.com or +1 (678) 310-1785.
Guest Capacity
Each of our villas has been thoughtfully designed for a specific number of guests, and we ask that you respect those limits for the comfort of everyone in your group. The maximum occupancy for each property is listed on its page. If you’re planning a larger gathering, an event, or a multi-family trip, just let us know in advance; we love helping with those!
2. Rates and Payments
Our Pricing
All rates are listed in US Dollars (USD) per night and are confirmed at the time of booking. Pricing may vary depending on the property, time of year, and length of stay. Peak periods like the Festive season, Thanksgiving, Summer, and Winter holidays tend to book up quickly and may reflect higher rates.
What’s Included (and What’s Not)
Your nightly rate includes all the essentials: daily maid service, daily breakfast, concierge support, pool access, and BBQ. Some stays may also include additional fees that will always be clearly communicated upfront:
- A refundable security deposit (amount varies by villa)
- A one-time cleaning fee (shown in your booking summary)
- Any optional extras you choose: private chef, tours, transfers, event setup, and more
- Applicable Costa Rican taxes
Payment Schedule
To lock in your dates, we ask for a 30% deposit at the time of booking. The remaining balance is due 60 days before your arrival. If you’re booking within 60 days of your trip, full payment will be required upfront. We accept major credit cards and bank wire transfers.
Our 4th Night Free Offer
At select villas in Manuel Antonio and Arenal, we offer a special promotion where your fourth night is on us when you book a minimum of three nights. This offer applies to eligible properties and dates. Full details are available on the offer page and will be confirmed in your booking summary.
3. Cancellations and Changes
If You Need to Cancel
We completely understand that life happens. If you need to cancel, please let us know in writing as soon as possible at info@karabivillas.com. Here’s how our refund policy works:

Any eligible refunds are processed within 14 business days of your cancellation confirmation.
Changing Your Dates
Want to shift your travel dates? We’ll always do our best to accommodate changes, subject to availability. Just reach out and we’ll work with you. Please note that date changes requested within 60 days of arrival may be subject to the cancellation policy.
If We Need to Cancel
In the very rare event that we have to cancel your reservation due to circumstances outside our control (such as extreme weather or unforeseen property issues), we’ll notify you immediately and either offer a full refund of all payments made or find you a comparable villa at no extra cost.
A Word on Travel Insurance
We always recommend purchasing comprehensive travel insurance that covers trip cancellation, interruption, and medical expenses. It’s a small investment that gives you real peace of mind, especially when traveling internationally.
4. Arrival and Departure
Check-in is from 3:00 PM, and check-out is by 11:00 AM (Costa Rica time, CST / UTC-6). If you’d like an early check-in or a slightly later departure, just ask and we’ll do everything we can to accommodate you based on availability.
When you arrive, one of our team members will be there to welcome you, walk you through the villa, introduce you to any on-site staff, and make sure you have everything you need to settle in beautifully.
5. Enjoying Your Villa
A Few House Rules
Our villas are private luxury homes, and we ask all guests to treat them with the same care and respect you’d want for your own home. Here are a few simple guidelines that apply across all properties:
- Smoking is only permitted in designated outdoor areas; please keep interiors smoke-free.
- Pets are warmly welcomed only when pre-approved in writing before arrival.
- Please keep noise at a neighborly level after 10:00 PM.
- Fireworks and open flames outside of the BBQ areas are not permitted.
- When stepping out, please secure all doors, gates, and windows.
Pools and Amenities
The pool and all amenities are exclusively for registered guests. We kindly ask that children always be supervised by an adult near water.
Events and Larger Gatherings
Several of our villas are perfect for weddings, exclusive gatherings, corporate events, and larger celebrations. If you’re planning anything like this, please coordinate with our team ahead of time so we can ensure everything goes smoothly. Events exceeding the villa’s listed capacity require prior written approval.
Caring for Costa Rica
One of the things that makes Costa Rica so extraordinary is its incredible natural beauty, and we take that seriously. We invite all of our guests to travel mindfully: conserve water and energy, minimize waste, and admire the local wildlife from a respectful distance. Pura vida starts with how we treat this place.
6. Security Deposit
A refundable security deposit is required for all stays. The amount varies by villa and will be communicated clearly at the time of booking. This deposit is simply a safeguard: it’s held in case of any damage or rule violations and returned promptly once we’ve confirmed everything is in order after your departure.
If there are no issues, you’ll receive your full deposit back within 14 business days of check-out. In the unlikely event of a deduction, we’ll provide a full written explanation along with supporting documentation.
7. Liability and Safety
Karabi Villas works closely with property owners to ensure every villa meets our high standards. That said, we want to be transparent that we are not liable for:
- Temporary unavailability of amenities due to maintenance or circumstances beyond our control
- Personal injury or accident on the property
- Loss or theft of personal belongings
- Disruptions from neighboring properties or natural events
- Any issues with third-party tours or services arranged through our concierge
We always encourage guests to exercise reasonable care during their stay and to reach out to our team immediately if something doesn’t feel right; we’re here to help.
8. Your Privacy
Your trust means everything to us. Any personal information you share during the booking process (your name, contact details, and payment data) is used exclusively to manage your reservation and provide you with a seamless experience. We do not sell or share your information with third parties for marketing purposes.

These Terms and Conditions are governed by the laws of the Republic of Costa Rica. In the very unlikely event of a disagreement, we’d always prefer to resolve things directly through open, good-faith conversation. If that’s not possible, disputes will be handled through the appropriate courts of Costa Rica.
